# Robots at a conference A conference is a different problem from a trade show. The audience is seated, attention is scheduled, and the robot is competing with a programme rather than with an aisle. That changes what is worth hiring and how it should be used. ## Three distinct jobs **On stage.** A robot in a keynote is a visual argument. It works when it is tied to what the speaker is saying, and it fails when it is a novelty bolted onto an unrelated talk. Stage appearances should be short, rehearsed, and pre-programmed or teleoperated by someone in the wings. Autonomy on stage adds risk without adding anything the audience can see. **In the foyer or expo area.** Here the robot behaves like a trade show attraction: it draws people to a sponsor, gives them something to photograph, and starts conversations. Scheduled short shows work better than continuous operation. **As the subject.** At a technical or research conference the robot may be the content: a workshop, a hands-on session, a demonstration of a specific capability. This needs a self-operated hire or a supplier with genuine technical depth, and it needs much more setup time than an appearance. ## Rehearsal is the whole job For anything on stage, book rehearsal time in the actual room, on the actual floor, with the actual lighting. Stage surfaces, cable ramps and truss shadows all affect a legged robot. Lighting affects cameras. Wireless congestion in a full hall affects control links, and a hall that was quiet at 8am is not quiet at 10am. Agree a failure plan with the production team: what the speaker says and does if the robot does not start, and who makes that call. Rehearse that too. A robot that fails gracefully in a planned way is a much smaller problem than one that fails while three hundred people watch the crew improvise. ## Working with the AV team Tell the production company early. They will need to know about power, about any wireless frequencies the robot uses, about whether the robot needs a feed or a cue, and about who is in the comms loop. Robot suppliers and AV crews often have not worked together before, and the introduction is your job. ## Access and timing Conference venues have tight get-in windows. Confirm the loading dock times, the route to the stage, the lift dimensions, and whether the case can stay in the room. Confirm who is allowed on stage during changeovers. ## Accessibility and audience care Consider attendees who may be startled, who use wheelchairs, or who have assistance animals. Keep the robot away from queueing and exit routes. Announce what is about to happen rather than surprising people. ## Recording and data If the robot has cameras and the session is recorded, agree in advance what is captured, whether attendee faces are processed, and how long anything is kept. Put the signage up before the doors open. ## What to include in the brief - The venue, room, stage size and stage surface. - The exact slot, its length, and how many times it repeats. - Whether the robot is on stage, in the foyer, or both. - Rehearsal windows available. - The production company contact. - Languages required. - Whether the session is recorded or streamed. Be explicit in the brief about whether you want autonomy or a reliable scripted routine. Suppliers will quote very differently, and the honest ones will tell you the scripted version is more likely to work.
